Credit Administrator – Travel Industry

Key Responsibilities
Daily Responsibilities
- Prepare accurate reconciliations of creditors’ statements to invoices received for review and payment.
- Process pre‑payment and term creditors with precision.
- Process touring and non‑touring payments on Tourplan.
- Verify new or amended supplier banking details in line with AML and FICA requirements.
- Load all payments for authorization across various banking platforms.
- Allocate payments accurately to the creditors ledger on Tourplan.
- Prepare and send remittance advices and proof of payments to relevant stakeholders.
- Update cashflow as required.
- Liaise with creditors, reservations managers, consultants, and other internal teams to resolve queries professionally and timeously.
- Ensure all invoices are filed correctly and systematically.
- Check and process Third Party Barters.
- Ensure compliant documents are received and VAT is reconciled according to the VAT Act.
- Perform ad hoc duties as needed.
Weekly Responsibilities
- Review open vouchers for allocated suppliers.
Monthly Responsibilities
- Ensure tax invoices for payments made on pro forma invoices are received within required timelines.
Core Duties
- Invoice Processing: Receive, verify, and capture supplier invoices and credit notes accurately.
- Reconciliation: Perform monthly supplier reconciliations against statements.
- Payment Management: Prepare and load EFT payments on online banking platforms.
- Query Resolution: Investigate and resolve supplier and internal payment queries.
- Administration: Maintain accurate creditor records, filing, and support audit processes.
- Compliance: Adhere to internal financial policies, procedures, and statutory regulations.
Minimum Requirements
- Grade 12 (Matric) required.
- A Diploma or Degree in Finance is advantageous.
Experience:
- 3–5 years’ experience in a similar Creditors/Credit Administration role within the travel industry.
- Intermediate to advanced MS Excel proficiency.
- Experience working on Tourplan is essential.
