Groups & Group Series Travel Specialist
We are seeking a dedicated travel professional to design and coordinate journeys for group and series travellers visiting Southern Africa via international agents. In this role, you will create memorable travel experiences through detailed planning, effective communication, and outstanding client care—ensuring smooth and enjoyable trips for all.
Key Responsibilities:
Reservation & Quotation Management
- Promptly acknowledge and process travel requests from overseas agents.
- Assess client needs—including special interests, unique requirements, and budget constraints—to create tailored itineraries.
- Provide accurate written quotations and confirmations for all requested services.
- Enter reservation details into our system and secure confirmations from suppliers within required deadlines.
- Ensure continuous communication with agents regarding reservation status, payment requirements, and any deadlines or conditions.
- Organise meet-and-greet arrangements, manage room allocations, and adhere to rooming list deadlines.
- Prepare comprehensive travel packets including itineraries, vouchers, and all necessary documentation.
- Oversee billing procedures and assist with payment and account-related queries.
- Coordinate the booking of tour guide services, managing any related queries effectively.
Client & Supplier Relations
- Maintain regular contact with clients throughout their journey, and check in with tour guides to ensure everything runs smoothly.
- Address any client concerns or emergencies with care and promptness.
- Build strong relationships with both clients and suppliers—negotiating the best rates and securing top-quality travel products.
- Ensure all correspondence, proposals, and documentation are delivered accurately and on time.
Administration & Team Collaboration
- Follow all internal procedures and adhere to established policies.
- Provide timely reports and complete administrative tasks as required.
- Work collaboratively across teams—stepping in to support colleagues whenever necessary, even beyond regular office hours.
- Continuously develop your expertise by attending industry events, training sessions, and product workshops to stay ahead of travel trends.
Qualifications and Experience:
- Minimum education: Matric/Grade 12.
- 3–5 years’ experience in the inbound tourism sector, particularly in organising group travel.
- A proven track record of managing complex itineraries and detailed costings.
- A qualification in Travel & Tourism is advantageous.
- Familiarity with Tourplan software is preferred.
- Experience or understanding of the German market is an asset.
- In-depth knowledge of South African and regional geography.
- Exceptional attention to detail, planning, and organisational skills.
- Excellent interpersonal, verbal, and written communication skills.
- A mature, tactful approach when interacting with clients and stakeholders.
- Strong problem-solving, negotiation, and research capabilities.
