We are representing an amazing client who looking for an energetic and experienced travel specialist to manage incentive programs, group journeys, and ad-hoc group series travel. In this role, you will transform client travel requirements into seamless, unforgettable experiences—from the initial inquiry to the final itinerary details.

As a Travel Specialist, you will serve as both a consultant and coordinator for discerning clients. Your expertise in assessing unique travel needs, negotiating the best rates, and arranging comprehensive travel packages will be key to ensuring that every journey is as enjoyable as it is well-planned.

Your Key Responsibilities:

  • Client Consultation & Travel Planning:
    • Engage with clients and international travel agents to understand special interests, unique requirements, and budget constraints.
    • Tailor comprehensive travel itineraries that align with individual or group preferences.
  • Reservation & Quotation Management:
    • Prepare accurate, timely quotations for a range of travel services and secure bookings swiftly.
    • Process reservations in our system (using Tourplan or similar software) and follow up to confirm details with suppliers.
  • Documentation & Itinerary Coordination:
    • Create detailed itineraries, compile travel packs (including vouchers, rooming lists, and schedules), and manage all essential paperwork.
    • Oversee invoicing and payment queries to ensure that all services are correctly charged and documented.
  • Supplier & Partner Liaison:
    • Build and maintain strong relationships with preferred travel partners and suppliers, ensuring the best rates and travel products are negotiated and secured.
    • Continuously update your knowledge of supplier products and services to recommend the most suitable options.
  • Client Care & Support:
    • Maintain proactive communication with clients throughout their travel, ensuring smooth execution of their journey.
    • Handle any travel-related emergencies or issues promptly, keeping all involved parties informed.
  • Continuous Learning & Development:
    • Stay informed about industry trends by attending seminars, workshops, conferences, and other training initiatives.
    • Share your insights and feedback with the team to drive service improvements.

What We’re Looking For:

  • Education & Experience:
    • Minimum Matric / Grade 12, with a Travel & Tourism qualification highly regarded.
    • At least five (5) years of experience in a similar role within the tourism industry, specifically handling incentives, groups, and group series travel.
    • Proven expertise in developing complex itineraries and managing detailed travel arrangements.
  • Technical Skills:
    • Competence in working with Tourplan or similar reservation management systems.
    • Strong familiarity with South African and regional travel destinations, with an ability to offer insightful recommendations.
  • Personal Attributes:
    • Exceptional attention to detail and strong organisational skills.
    • A mature, tactful approach with excellent communication, negotiation, and problem-solving capacities.
    • Integrity, confidentiality, and a genuine passion for delivering outstanding customer service.
    • Ability to work collaboratively as part of a team and even assist colleagues beyond regular hours when needed.
