What You’ll Do
Lead Intake Support
- Check visa and travel‑restriction requirements for new enquiries.
- Assist with pre‑qualification research when needed.
Research & Quote Support
- Research hotels, tours, excursions, and unique experiences.
- Gather quotes from suppliers.
- Provide accurate data for itinerary development.
- Assist with background research for pricing and availability.
Booking & Supplier Coordination
- Manage all hotel, tour, transfer, and ground bookings.
- Request availability/options and secure confirmations.
- Perform GDS flight bookings (where required).
- Track payment reminders and release dates.
- Maintain booking spreadsheets, CRM accuracy, and supplier documentation.
Documentation & Pre‑Travel Processing
- Collect all supplier documents.
- Assemble the final travel pack for Architect approval.
- Prepare vouchers, confirmations, e‑tickets, and attachments.
- Ensure all documents are correctly filed in the CRM.
During‑Travel Support
- Provide first‑line support for routine or admin‑related issues.
- Log client issues in the CRM and escalate when needed.
- Communicate with suppliers on routine changes (timings, confirmations, reminders).
Post‑Travel Support
- Capture feedback in the CRM.
- Update client notes and preferences.
- Assist with follow‑up communication packs.
Qualifications & Expertise
- 1–2 years’ experience in the travel industry (inbound experience is a plus).
- Strong administrative or operations background welcome.
- GDS exposure is an advantage.
- Tourplan knowledge is beneficial.
