What You’ll Do

Lead Intake Support

  • Check visa and travel‑restriction requirements for new enquiries.
  • Assist with pre‑qualification research when needed.

Research & Quote Support

  • Research hotels, tours, excursions, and unique experiences.
  • Gather quotes from suppliers.
  • Provide accurate data for itinerary development.
  • Assist with background research for pricing and availability.

Booking & Supplier Coordination

  • Manage all hotel, tour, transfer, and ground bookings.
  • Request availability/options and secure confirmations.
  • Perform GDS flight bookings (where required).
  • Track payment reminders and release dates.
  • Maintain booking spreadsheets, CRM accuracy, and supplier documentation.

Documentation & Pre‑Travel Processing

  • Collect all supplier documents.
  • Assemble the final travel pack for Architect approval.
  • Prepare vouchers, confirmations, e‑tickets, and attachments.
  • Ensure all documents are correctly filed in the CRM.

During‑Travel Support

  • Provide first‑line support for routine or admin‑related issues.
  • Log client issues in the CRM and escalate when needed.
  • Communicate with suppliers on routine changes (timings, confirmations, reminders).

Post‑Travel Support

  • Capture feedback in the CRM.
  • Update client notes and preferences.
  • Assist with follow‑up communication packs.

Qualifications & Expertise

  • 1–2 years’ experience in the travel industry (inbound experience is a plus).
  • Strong administrative or operations background welcome.
  • GDS exposure is an advantage.
  • Tourplan knowledge is beneficial.
